How to Prepare for a Medical Transportation Appointment
If you are booking medical transportation for the first time — for yourself, a parent, or another family member — you probably have questions. What time should you book? What do you need to have ready? What happens if the appointment runs long?
This guide covers everything you need to know to make your first NEMT ride in Houston go smoothly, from booking through drop-off and back home.
Step 1 — Book Your Ride at the Right Time
The most common mistake first-time NEMT users make is booking too close to their appointment time. Medical transportation is not the same as calling a cab. Your driver needs to know your accessibility requirements, your destination, and your appointment time well in advance.
How far in advance to book:
- Routine appointments (doctor visits, specialist follow-ups, lab work): 24–48 hours in advance
- Same-day needs: Call us directly at (832) 369-2500 — we accommodate same-day bookings based on availability
- Recurring appointments (dialysis, chemotherapy, physical therapy): Set up the full recurring schedule at once — call once, ride every week
When scheduling, factor in:
- Appointment check-in time — Most medical facilities require check-in 15–30 minutes before the appointment. Give your driver the check-in time, not the appointment time.
- Houston traffic — Rush hour in Houston is real. A trip from Pearland to the Texas Medical Center can take 25 minutes at 10 AM or 55 minutes at 8 AM. Your transportation provider should know this — we do.
- Return trip — Let us know if you need a return ride. For appointments where the end time is uncertain (infusion therapy, dialysis), we can wait or return when you call us.
Step 2 — Provide Complete Information When You Book
The more your driver knows before arriving, the smoother the experience. When you call or submit a booking request, have the following ready:
Required:
- Full pickup address (including apartment or unit number)
- Destination address and facility name
- Appointment date and check-in time
- Your phone number and a backup contact number
- Mobility needs — do you use a wheelchair, walker, cane, or other mobility aid?
- Number of passengers (including companions or caregivers)
Helpful to share:
- Any medical equipment you will have with you (oxygen tank, IV stand, hospital discharge items)
- Whether you need assistance with stairs at the pickup location
- Any communication preferences if the patient has hearing, vision, or cognitive impairments
- Specific entrance at the destination — large facilities like hospitals have multiple entrances
The more detail you provide, the better prepared your driver will be.
Step 3 — What to Have Ready Before Your Driver Arrives
On the day of your appointment, have these things ready at least 20 minutes before your pickup time:
Documents and essentials:
- Photo ID
- Insurance cards (even if you are paying out of pocket for transport — the facility will want these)
- List of current medications — especially if you are going for a procedure or new patient visit
- Any referral forms or pre-appointment paperwork the facility requested
- Phone fully charged, with your driver's contact number saved
For wheelchair users:
- Wheelchair in working condition — check that brakes engage properly before your appointment day
- Any accessories or equipment you bring daily (bags, cushions, headrests) should be secured or easy to load
For patients traveling with medical equipment:
- Portable oxygen tanks should be full or have a fresh charge
- Confirm with your driver when booking that your equipment is compatible with the vehicle
- CPAP, nebulizers, and similar equipment should be packed and ready to go
Step 4 — The Day of Your Ride
Your driver will arrive 10–15 minutes before your scheduled pickup time. Here is what to expect:
The driver will:
- Knock or ring and identify themselves as your Next Lane driver
- Assist you from your door to the vehicle
- Secure your wheelchair or any mobility aids properly before moving
- Confirm your destination and appointment details
- Drive directly to your destination using the most efficient route
You do not need to:
- Navigate the vehicle yourself
- Carry heavy items — your driver will assist
- Rush — your driver's schedule accounts for your needs and pace
Important: If your appointment is at a large facility like MD Anderson Cancer Center, Houston Methodist, Memorial Hermann, or anywhere in the Texas Medical Center, tell your driver which specific building, clinic, or entrance you need. These campuses are large and have multiple patient drop-off points.
Step 5 — During Your Appointment
Keep your phone on and accessible. If your appointment finishes early or runs long, you will need to contact your driver.
If your appointment runs longer than expected:
- Call or text your driver with an updated estimated time
- If you arranged a return pickup, give us a new time and we will adjust
If you are discharged from a facility same-day:
- Call us as soon as you have an estimated discharge time
- Have your discharge paperwork, prescriptions, and any post-procedure instructions ready to go
Step 6 — Special Situations
Post-Surgery and Discharge Rides
If you are being picked up from a hospital after a procedure, confirm with the nursing staff what time your discharge paperwork will be ready. Hospital discharges often run later than planned. Book your transportation for after the estimated discharge time — it is easier to wait a short time than to rush through discharge.
Bring a bag for any items accumulated during your stay. Your driver will assist with loading.
Dialysis and Recurring Appointments
For patients on a recurring schedule, the key to smooth rides is consistency in your own preparation:
- Be ready at the same time each pickup day
- Keep your access site bandaged and protected for travel immediately post-session
- If you feel unwell after a session and need extra time to get ready, contact your driver
Traveling with a Caregiver or Family Member
A companion or caregiver can ride with you at no additional charge (confirm when booking). They should be ready to go at the same time as you — delaying for a companion delays the entire trip.
First-Time Patients Visiting the Texas Medical Center
The Texas Medical Center is a massive campus and can be overwhelming on a first visit. Before your appointment:
- Confirm the specific hospital or clinic name (not just "TMC")
- Get the exact building address from your appointment confirmation
- Note the nearest parking or patient drop-off point — your driver will need this
- Allow extra time — campus navigation at a first visit always takes longer than expected
What to Do If Something Goes Wrong
If your driver has not arrived by the pickup time: Call us at (832) 369-2500 immediately. Do not wait and worry — we will resolve it.
If you need to cancel: Call as early as possible. Last-minute cancellations affect scheduling for other patients.
If you have a concern about your ride: Call us directly. We want to know about any issue with your experience so we can address it.
